Meet Entry Form

Parents are responsible for entering their swimmers in meets by the entry deadline. This is not done by the coaches, although they can and will give you advice when asked.

Meet Packet

The Meet Packet is a document prepared by the host of the meet. Meet Packets will be posted on the website as they are available. The Piranhagram will also alert you to Meet Packet availability. The Meet Packet will have all the information you will need about the meet including a list of events, location, start time, warm up times, entry fees and more. The Packet will also have the entry deadline. Watch the Piranhagram for entry deadlines. YPAC cannot accept entries after the deadline.

Meet Entry Preparation

Please review the packet carefully, noting when your swimmer’s age group is swimming, confirm whether there are any time standards. Review the events available for your swimmer and the maximum number of events per day. Select the events your swimmer wishes to enter. You will not enter your swimmer for relays, the coaches prepare those entries.

You do not need to enter a time for your swimmer. Hy-Tek, YPAC’s meet entry program, will automatically enter the fastest time achieved at a YPAC meet. If your swimmer is new or doesn’t have a time in a particular event, see a coach for assistance. If you wish to use a custom time achieved from a meet other than a YPAC meet, you will need to put that time on the Meet Entry Form. Lead off relay splits are acceptable times. If using a custom time or a lead off relay split, a proof of the time must accompany the Meet Entry Form. Acceptable proofs are Hy-Tek meet results from High School or Middle School meets or meet results with an official’s signature.

Meet Entry Fees are listed on each Meet Entry Packet. Figure the total entry amount and put it on the Meet Entry Form. Make out a check for that amount to the South Oakland YMCA and include the meet name on the memo line of your check. Do Not include any relay fees; they are paid for from YPAC team revenue. There are not any fees for Dual Meets.
